Job Type and Duration

This is a full-time permanent position.


Position Description:

The successful candidate will have a proven track record in operations, with the goal of maximizing efficiency and effectiveness throughout the organization, while ensuring all activities are aligned with its mission and culture. They will build systems that endure and grow as the organization grows.

The ideal candidate must have stellar organizational skills, excellent attention to detail, and the ability to multi-task in a fast-paced environment. We’re eager to find an Operations Manager who connects and communicates easily with people with a service-oriented mindset.

Job Responsibilities:

Cross-Functional Operational Oversight

  • Oversee daily operations across six key domains: Technology, HR, Finance, Legal, Governance, and Business Operations.
  • Ensure all systems, processes, and workflows are documented, compliant, and optimized for clarity and scalability.
  • Serve as the liaison between departments and external vendors (e.g., accountants, legal counsel, IT support).

Technology & Systems Management

  • Maintain and manage organization-wide platforms including G-Suite, BambooHR, Expensify, Zoom, and Asana.
  • Lead system implementation, onboarding, and troubleshooting across platforms.

Finance & Budget Operations

  • Work with external accountant and internal leadership to oversee financial processes
  • Monthly reconciliation, expense approvals, and budget tracking
  • Vendor contracts, payments, and organizational insurance policies
  • Support audit preparation and annual filings (e.g., 990s)

Human Resources Coordination

  • Manage HR systems via BambooHR including onboarding, time off, evaluations, and compliance documentation.
  • Support employee lifecycle operations including benefits coordination and handbook updates.
  • Ensure remote team cohesion by coordinating virtual meetings, onsite retreats, training logistics, and internal culture initiatives.

Legal & Governance Support

  • Manage compliance deadlines, policies, and reporting obligations (e.g., state registration renewals).
  • Support board operations including meeting logistics, recordkeeping, and documentation of resolutions and policies.
  • Maintain centralized documentation for bylaws, insurance, and fiscal sponsorship or legal agreements.

Qualifications

Required

  • Deep commitment to the mission of UNDIVIDED.
  • 4+ years in nonprofit or business operations, with broad exposure to administrative domains.
  • Demonstrated ability to manage multiple platforms, systems, and projects simultaneously.
  • Proficiency with cloud-based tools (G-Suite, Zoom), and familiarity with HRIS and expense management systems.
  • Strong written, verbal, and interpersonal communication skills.
  • Exceptional attention to detail and organizational follow-through.
  • Ability to travel.

Preferred

  • Experience using BambooHR, Expensify, QuickBooks, and/or Asana.
  • Familiarity with nonprofit governance and compliance standards.
  • Lived or professional experience in advocacy fields.
