Executive Assistant

As the Executive Assistant, you’ll play a critical role in supporting the operational and strategic effectiveness of our executive leadership. You’ll help streamline and organize the daily work of the Founder/CEO while ensuring the smooth execution of internal processes, schedules, communications, and priorities. Your contribution will enhance the capacity of the executive team to scale our mission and deepen our impact around the world.
JOB SUMMARY
Your title might say “Executive Assistant,” but your job is really to keep the wheels turning, the leaders moving, and the problems solved. Here are some of the responsibilities you would have:
- Provide proactive administrative support to the Founder/CEO, including managing calendars, travel, correspondence, and meeting preparation.
- Support the CEO with donor stewardship through timely follow-ups, relationship tracking, and drafting of communications.
- Schedule and coordinate team meetings, board meetings, and cross-functional planning sessions, preparing agendas, presentations, and notes.
- Support time and task management for the executive office, helping prioritize competing initiatives and deadlines.
- Maintain and organize digital files, documents, and confidential records related to operations, partnerships, and internal communications.
- Assist with special projects such as event coordination, donor mailings, internal initiatives, and key moments in our campaign calendar.
- Help prepare reports and presentations for internal and external audiences, including fundraising decks and progress reports.
- Track deadlines and ensure follow-through on key action items arising from executive meetings.
- Champion a positive and collaborative internal culture through thoughtful coordination, planning, and execution of staff events and engagement.
JOB REQUIREMENTS
We care far more about what you will do than what you have done. The type of person you are matters far more to us than what your resume says. With that said, to be effective in this role, you must:
- Be highly organized and detail-oriented, with the ability to manage multiple priorities and deadlines in a fast-paced environment.
- Demonstrate strong written and verbal communication skills.
- Be comfortable using digital tools such as Google Workspace, Zoom, Asana, Slack, and Microsoft Office.
- Exercise discretion, sound judgment, and professionalism when handling confidential information.
- Be an independent problem solver and self-starter who can anticipate needs and take initiative.
- Have a proactive, can-do attitude and be ready to support wherever needed, big or small.
- Be passionate about the mission of Many Hopes and eager to contribute to a small, high-impact team.
NICE TO HAVES
These experiences or skills would be beneficial, though not required. You also likely have skills we don't even know about that we're excited to discover! :
- Familiarity with CRM systems such as HubSpot or Salesforce.
- Previous experience in a nonprofit, philanthropy, or social impact setting.
- Basic design skills (e.g., Canva, PowerPoint) to support slide creation and reports.
